Your next season starts with a plan.
Start with your roster, a target date and a clear idea of your team colors. Collect logo files and note any league requirements before choosing a design.

START WITH ONE ORGANIZER AND ONE BRIEF
Before comparing designs, decide who will gather information and approve the final order. A single organizer does not have to make every choice, but they should keep a clear record of decisions. Separate essential requirements from preferences: the competition date and required number format may be fixed, while an accent pattern may be flexible. This makes it easier to discuss alternatives without losing sight of what the team needs.
BUILD YOUR FIRST REQUEST
- 01Sport, league and playing format
- 02Garment types and approximate quantities
- 03Team colors and approved logo files
- 04Youth and adult sizing requirements
- 05Player name and number requirements
- 06Destination and the date garments must be in hand
- 07Main contact and artwork approver

USE A ROSTER THAT EVERYONE CAN CHECK
Create one row for each player and a separate column for each garment. Record the exact name or nickname to print, the number, the selected size and any exception. Ask players or guardians to check their own entries, then lock one version for approval. If someone changes a size, record the date and update the master rather than circulating another informal list. Avoid collecting personal information that is not needed for the order.

MEASURE THE GARMENT YOU ARE ACTUALLY ORDERING
A familiar clothing size is a useful starting point, not a final specification. Request the chart for the proposed style and check whether it describes body measurements or garment measurements. Use the stated units, record measurements consistently and account for equipment where the sport requires it. If a player falls between sizes, ask about the intended fit rather than guessing. Separate jersey and lower-body sizes when the order contains both.

REVIEW ARTWORK AS A COMPLETE SET
Check the front, back and any additional pieces together. Look at contrast, number visibility, logo placement and spelling. Ask whether seams or garment features affect the proposed design. Keep a copy of the version approved by the organizer and confirm that everyone is referring to the same file. A late change to a sponsor mark should trigger a review of all affected pieces, not just the first image.

MAKE THE QUOTE EASY TO COMPARE
Ask what the quote includes: garment quantities, personalization, any additional costs and the proposed delivery arrangements. Share the in-hand date and destination early. Confirm when timing begins and what approvals are needed before work proceeds. Do not assume a pictured accessory is included or that an estimate covers changes made later. Retain the written specification alongside the roster so both documents describe the same order.

CHECK THE DELIVERY AGAINST THE APPROVAL
When the order arrives, compare the garments with the approved quantities, sizes and player details. Keep packaging and order information while checking any discrepancy, and contact the supplier with a clear description if something needs attention. Save artwork, order references and care guidance for the next season. Reorders still need confirmation of availability, color matching, quantity and timing.
TURN THE PLAN INTO A TEAM BRIEF.
Share the information you have and identify any details still being decided.
